This Privacy Policy explains how Sukuma Commodities ("Sukuma", "we", "us", "our") collects, uses, and protects information through the Sukuma web portal (sukumasystems.io) and the Sukuma mobile application ("the App"). Sukuma is an internal coffee-operations management system used by our staff and authorized partners to manage procurement, production, logistics, and business records. It is not intended for use by the general public.

2. Who This Policy Applies To

This policy applies to authorized users of the Sukuma platform — employees, warehouse and procurement staff, management, and contracted partners — who are issued login credentials by Sukuma Commodities. Accounts are created and managed by our administrators; the App does not offer public self-registration.

3. Information We Collect

We collect and process the following categories of information:

• Account information — name, username, email address, role, and a securely hashed password. We never store passwords in plain text.
• Operational business data entered or viewed through the platform, including procurement entries, supplier and customer details, business contracts, production batches, warehouse stock records, stock transfers, and logistics contracts.
• Financial figures relevant to business operations, such as procurement amounts, payment status, and contract pricing.
• Human resource records, where applicable to a user's role, including employee contact details, department, position, and employment dates.
• Device and session information — authentication tokens, login timestamps, and basic device/app version information needed to keep sessions secure and diagnose issues.

4. How We Use Information

• To operate and secure the Sukuma platform, including authenticating users and enforcing role-based access permissions.
• To record and display business operations — procurement, production, stock, logistics, and finance data — to the staff authorized to see them.
• To generate reports, ledgers, and summaries used for internal business decision-making.
• To send account-related notifications (for example, approval alerts) within the App.
• To maintain the security, integrity, and reliability of the system.

5. Data Sharing

We do not sell, rent, or share personal or business data with third parties for marketing purposes. Data is only accessible to authorized Sukuma Commodities personnel based on their assigned role and permissions. We may share information with service providers strictly to operate the platform (for example, our hosting provider), under confidentiality obligations, or where required by law.

6. Data Security

Access to the platform requires authenticated login credentials. Passwords are stored using industry-standard hashing. Mobile app sessions use per-device access tokens that can be revoked at any time by an administrator. Role-based permissions restrict each user to the modules and warehouses relevant to their work, mirrored identically between the web portal and the mobile app.

7. Data Retention

Operational and account data is retained for as long as it is needed for business, accounting, and legal record-keeping purposes, or for as long as the associated account remains active. Administrators may deactivate or delete accounts and associated access tokens at any time.

8. Your Choices

Because accounts are provisioned by Sukuma Commodities administrators rather than self-registered, requests to access, correct, or remove personal information should be directed to your administrator or to us using the contact details below.

9. Children's Privacy

The Sukuma platform is a business tool intended for use by adult employees and authorized partners. It is not directed at, and we do not knowingly collect information from, children.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in the platform or applicable law. The "Last updated" date above will reflect the most recent revision. Continued use of the App or web portal after an update constitutes acceptance of the revised policy.
